ILLiad Policies

We would like you to be aware of the following policies:

ILLiad is a traditional interlibrary loan service of the UT Southwestern Library. The articles and loans (books) that you receive are obtained from participating libraries in the United States. Most items are obtained on the basis of "fair use", which is defined as intended to be used by you personally and exclusively for your research and personal growth. Making additional photocopies, distributing photocopies, or requesting on behalf a corporate entity may not constitute a "fair use". If you need multiple copies of a article or need corporate use of an item, you may need to contact the publisher or a commercial document supplier for copyright-cleared/copyright-paid copies.

During registration, you had an opportunity to list people's names under "authorized users" for your account. This list permits us to divulge information regarding your requests to the persons listed in this field. It is important that you trust the persons you have listed in this field; our office will divulge any information regarding your account to any person listed in this field. We will also reset passwords and change addresses on an authorized person's request. We identify the authorized person by asking them for your UTSW person number, your name, and his or her name. This allows persons to delegate this specific type of work to a particular member of her or his own staff. Please be aware that by law, we are not permitted to divulge information to anyone not on this list. Persons who call us that are not on this list are simply told that they are not an authorized user, and must contact you for authorization. If you did not add any authorizations permissions, you may do so now by logging back into your ILLiad account. If you are an "Unaffiliated" client, note that Interlibrary Loan will permit only one authorized user other than yourself; if more than one name is listed, we accept the first person listed in this field as your "authorized user".

Loans are provided via the courtesy of another library's collection. That library sets all policies and due dates relating to the loan provided. We are required to follow all policies, restrictions, and due dates indicated by the lending library in order to maintain borrowing privileges from that library. Also, the cost of lost/unreturned books is set by the lending library, and is frequently the replacement cost of the materials. Failure to return a rare, irreplaceable, or out-of-print item can result in a permanent revocation of our library's borrowing privileges as well as a hefty loss fee assessed by the lending library. Our policy is to send out three overdue notices to you for an unreturned item. The last notice is sent approximately one week after the due date, and at that point, your library privileges will be suspended. We must ask the lending library for an invoice shortly after we send you the final notice. A blocked account may be reinstated during business hours (Monday-Friday, 9:00 am - 5:00 pm) after overdue materials are returned to the Library Office or after payment of an invoice is received.

When you are placing requests, you will notice that there is an "English Only" option. There is no translation service available for non-English language articles. If you check the "English Only" option, you will receive a rejection letter if the article is written in a language other than English. If the "English Only" option is not checked, you will receive the article in the language that it was written.

The articles provided will most frequently be photocopied pages, and will look similar to a copy that you photocopied yourself from a journal. Interlibrary loan is not able to provide "perfect" article copies; if you need a perfect copy, you will need to contact the publisher for reprints.

You may cancel a regular request before we "touch" your request. Once we begin processing your request, you must call us to effect the cancellation. We will attempt to cancel a regular request until the request has reached a status of "Request Sent".

Rush requests require specialized handling, and cannot be cancelled once placed. Please use discretion when placing your requests, as fees are assessed for all Rush requests regardless of your status.
